A to Z AI Systems ("we," "us," "our") provides AI-powered phone reception and business-automation services. This Privacy Policy explains what information we collect, how we use it, and your choices. It covers our website (azaisystems.com) and our Services.
You provide: name, business name, email, phone number, and details you submit through forms, calls, chats, or onboarding.
From callers (on behalf of clients): call audio recordings and/or transcripts, phone number, name, the reason for the call, and appointment details.
Automatically: basic website/device analytics and log data (e.g., IP address, browser type, pages viewed), and operational logs from our automation systems.
Payment: if you purchase, our payment processor (Stripe) collects your payment details directly. We do not store full card numbers.
We do not sell your personal information, and we do not use callers' personal information for our own advertising.
Our Services use automated AI systems to answer and process phone calls. Calls handled by the AI may be recorded and/or transcribed to book appointments, take messages, and create summaries. Recording-consent requirements vary by state. Where we operate an agent for a client, the client is responsible for providing any legally required notice or consent to its callers; our agents can be configured to announce that the call is handled by an AI assistant and may be recorded.
We share information with service providers (subprocessors) that help us run the Services, under contracts that limit their use of the data. These currently include:

We may also disclose information to comply with law, enforce our agreements, or protect rights and safety, and in connection with a business transfer (merger, acquisition).
We keep operational records (calls, messages, leads, bookings) for up to 12 months, after which they are routinely purged, unless a longer period is required by law or agreed with a client. Account and billing records are kept as long as needed for legal and accounting purposes.
We use commercially reasonable administrative and technical safeguards to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. To make a request, contact us at aiden@azaisystems.com. If your data was collected by an AI agent we operate for a business, we will direct your request to that business as the responsible party. We will not discriminate against you for exercising your rights.
The Services are not directed to children under 13, and we do not knowingly collect their personal information.
We may update this policy. We will post the new date above and, for material changes, provide additional notice where required.
